Executive Assistant to the President – NYC Based

Our client is a fast-paced leading manufacturer and importer of fine gifts and accessories. They are also established in other brands and categories such as consumer electronics, pet accessories, fitness and executive gifts under several high-profile licensing agreements.

The company is looking for an Executive Assistant reporting to the President. Candidate should be resourceful, organized and detail oriented.  Responsibilities for this position will include proactively managing the President’s schedule and assisting him in the implementation of his plans and ideas.
It is imperative that the candidate be able to wear different hats through the day to assist the President execute his plans.

Essential Duties and Responsibilities
  • Focus person for setting and scheduling appointments for the President
  • Liaison between President, peers, clients, and business partners
  • Develop and manage office processes and tasks that ensure the office runs smoothly and efficiently
  • Ensure the President is well organized and thoroughly informed on office and corporate issues, projects, and responsibilities.
  • Manage the organization of multiple inputs and conflicting priorities to ensure the President can function optimally
  • Monitor communication to and from the President to discern and act on items needing follow-up and further action.
  • Coordinate and track project tasks, milestones, and deadlines to ensure the office’s mission and projects are successful
  • Provide documentation and research upon request from the President
  • Provide formal documentation; professional letters, proposals, directives, and requests
  • Maintain departmental spreadsheets and systems
  • Attend meetings and conference calls with and without President and document as needed
  • Arrange meetings and special events and projects
  • Prepare meeting materials, including reports, presentations and agendas.
  • Coordinate food and entertainment
  • Book travel and housing accommodations
Essential Duties and Responsibilities
  • College degree
  • Minimum of 5 years’ experience in the duties outlined in this Job Description.
  • Intermediate knowledge of Word, Excel, PowerPoint and Outlook
  • Properly handle sensitive and confidential information
  • Must be extremely detail-oriented and organized
This is a full-time position with business hours that require the flexibility to work additional hours as needed.
